Dear business owner,
If you landed on this page, you're not wondering whether you need help. You already know you do. You're just trying to figure out who to trust, what it really costs, and how to avoid wasting another month on the wrong hire.
I'm going to save you that month.
My name is Brian Murphy. I run eSystems Management, and for over a decade I've also run Murphy Consulting, a white-label agency that does fulfillment work for about 50 agencies across the US.
Between the two companies we have an in-house team of around 60 people, and we've built and managed more than 150 CRM & marketing sub-accounts.
I'm telling you that for one reason. The VAs we place aren't freelancers we found last week. They come out of a working operation, and they have that operation behind them after you hire them.
I get on the phone with business owners about hiring a VA every single week. The same situations come up over and over. Chances are, you'll see yourself in at least one of them.
The 7 Situations I Hear on Almost Every Call
Which of these business bottlenecks is keeping you stuck right now?
"I'm the bottleneck in my own business."
I talked with a young agency owner running marketing systems for his clients. He had two clients and was doing every bit of the fulfillment himself: building, fixing, answering, updating. He was smart and hungry, and he was stuck, because every new client meant more hours he didn't have.
Another agency owner I work with brought on his first VA at 12 clients. Same kind of business. The difference was that one of them had a second pair of hands.
"I tried a VA before and got burned."
This one comes up more than anything else. A sales trainer in the beauty industry told me she'd been through three VAs. Every one of them billed her hours and hours, and her website still wasn't done. Meanwhile her training program, which was ready to sell, sat waiting on tech she couldn't finish herself.
She didn't want another gamble, and I didn't blame her. So we didn't ask her to take one. She started with a small block of hours on one of our Support Plans, with a project manager assigned, tasks submitted through a ticket portal, and time logs she could check anytime. Nothing hidden, nothing padded.
"My systems are half-built and I can't finish them."
A med spa owner found us online while searching for a marketing CRM specialist. She needed someone to run her marketing and build her funnels inside the system, ideally someone who understood spa and beauty clients, and she wanted them in place within two weeks.
A founder launching an AI and automation agency for childcare centers needed a CRM specialist to build his master demo: landing pages, a chatbot, automation sequences, review requests and missed-call text-back, all built once and cloned for every new customer.
"Leads are slipping through the cracks."
A marketing agency owner wanted a caller to generate leads for his business. The plan was simple: pull HVAC companies off Google and Yelp for a target city, and have a VA with clear English and a friendly phone manner call them every day.
That's a job most owners know needs doing and never get to. Every day it doesn't happen is pipeline that doesn't exist next month. Same story for any business where the phone rings while the owner is busy. Every call that hits voicemail is a customer who calls the next name on the list.
"The cheap VAs aren't reliable."
An entrepreneur juggling several AI projects had been hiring VAs directly at $5 or $6 an hour. The rate looked great on paper. In practice, he dealt with outages, disappearing workers and constant disruption, and he ended up managing the VA instead of the VA helping him.
When you hire direct, you are the recruiter, the HR department, the payroll office and the backup plan. When something goes wrong at 9 a.m. on a Monday, it's your problem.
"Sales aren't my problem. Keeping up is."
A short-term rental operator told me something I hear in different words all the time. Getting customers wasn't the problem. Serving the ones he had was. His wife was pushing him to get help, and he said that if someone could truly take work off his plate, the price almost didn't matter.
"I'm not sure I'm ready yet."
Plenty of owners aren't ready for a full-time hire, and that's fine. A course creator I spoke with reserved a part-time VA ahead of her launch, so her CRM and course setup could get moving while she traveled. Another business owner, who admitted he gets bogged down trying to define every role himself, was a perfect fit for our two-week pilot: pick three tasks, see the work, decide.
You don't have to solve your whole org chart before you get help. You just have to start.

What You're Missing by Doing It All Yourself
Here's the part most owners never add up.
The Real Cost of $100/Hour Founder Time Spent on $10 Tasks
Say you spend 20 hours a week on work you could hand to someone else: inbox, scheduling, follow-ups, data entry, posting, CRM updates.
Now say your time, spent on selling and leading, is worth $100 an hour. That's $2,000 a week in value you're giving away, or about $100,000 a year.
(Plug in your own numbers. The point isn't the exact figure. It's that the cost of not hiring is almost never zero.)
Here's what that cost shows up as in real life:
- Missed calls & slow follow-ups. Leads go cold in hours, not days.
- Systems you pay for but don't use. Half-built funnels, automations that never go live.
- Marketing that happens "when you get to it." Which means it doesn't.
- Growth you have to turn down. New clients feel like a burden instead of a win.
- Nights and weekends lost. Hours meant for family spent grinding in your inbox.
- Burnout. The slow grind of being the only person who can do anything.
None of that shows up on an invoice. All of it shows up in your business.
Why Most VA Hires Fail (and How We Fixed Each One)
Comparing standard DIY hiring vs. the Managed eSystems VA Placement approach:
| Where it breaks | What usually happens | What we do instead |
|---|---|---|
| Sourcing | You post a job, get 200 applicants, and spend two weeks sorting them. | Candidates are already vetted. You browse profiles with video, resume and skills. |
| Choosing | You hire off a resume and hope. | You interview free, as many of your shortlist as you want, before paying anything. |
| Managing | Payroll, taxes, benefits and tracking hours overseas become your job. | We handle payroll, taxes, government contributions and time tracking. You get the login. |
| Getting stuck | Your VA hits a problem they can't solve, and the work stops. | Your VA is backed by our in-house team of about 60, including top technical specialists. |
| Bad fit | You start over from zero. | We replace your VA free. |
